This position is responsible for organizing and documenting all medical education activities for an assigned program. Provides administrative support to faculty, residents and department committees as assigned. Oversees the operations of post graduate education and medical students. Accountable for the activities required for accreditation, recruitment, and effective operation of the medical education programs. Liaisons with external educational and compliance agencies to ensure programs are in compliance and in accordance with internal policies and procedures.
Collects and assembles required data for residency related projects. Plays a key role in developing and monitoring medical education budgets. Gathers information to facilitate development of the program's fiscal budget, and monitors monthly financial reports for variances.
Maintains knowledge of current accreditation and board requirements for medical students, residents, clerkships, and/or fellowships as required. Participates in resident recruitment process. Coordinates the application process. Keeps communication materials and web site up-to-date. Reviews and processes all correspondence and applications. Schedules interviews for potential Residents.
Coordinates rotations and clinics, and call/clinic/service schedule for residents, medical students, fellows and faculty as assigned. Generates, maintains, and distributes monthly schedules. Coordinates conferences and continuing medical education programs and tracks cost. Maintains all records necessary to verify successful completion of residency program. Prepares all cyclical reports for residents, staff and attending physicians. Provides administrative support for faculty, residents, and department committees as assigned.
Ensures compliance with the operations of the residency and/or fellowship program including, but not limited to, activities of the medical education committee, timely conduction of internal reviews, and monitoring work hours to ensure compliance with ACGME/CPME and program requirements. Establishes and maintains databases of information for accreditation reporting, annual GME/IME reporting, surveys, licensure, credentialing, audits, and other reporting.
Serves as the administrative liaison with external regulatory and compliance agencies. Establishes and updates policies and procedures in accordance with program, facility, and organizational policies and procedures, standard professional practices, guidelines and standards as specified by accrediting agencies and related local, state and federal laws and regulations.
Coordinates educational sessions to fulfill requirements of medical records, risk, human resources, and occupational health. Manages the on-boarding and orientation process of residents and faculty to ensure timely start of employment. Develops and maintains effective working relationships with program directors, staff, faculty and residents/fellows. Serves as a role model and resource for providing quality patient care and information as needed. Maintains high levels of customer satisfaction through oversight of staff interaction with customers.
Completes authorized contract templates as provided by the Banner Health Legal Department while effectively communicating with facility or unit management, Legal Department, physicians, department directors, contract coordinators and outside attorneys, schools, hospitals, clinics and vendors in connection with internal contractual requirements and contract modifications and status. Coordinates with other departments in connection with contract requirements, execution of contracts, insurance requirements and payment of contracts. Facilitates contract finalization and execution.
In this role, may supervise others; including: Faculty and residents for non-clinical administrative functions, administrative staff, volunteers and office functions.
Must possess knowledge of medical education coordination as normally obtained through the completion of a bachelors degree in business, human relations, related field, or may commensurate with experience gained in a medical residency program or equivalent.
3 to 5 years of experience in medical education, research, management or a related area. Must have excellent verbal and written communication skills and must have the ability to organize, prioritize, and multi-task in a fast paced environment Requires strong research and organizational abilities. Must have the ability to guide and lead others. Requires demonstrated negotiation and persuasion skills.
Must be proficient with commonly used office software and computers.
Additional related education and/or experience preferred.
