CROI (Release of Information) Department is a very challenging department to work with in HIMS. We handle all processing for release of information requests from third party requesters, patients and their families. My team is two- fold with some staff able to do both areas. Acute/hospital side processes insurance, patient and government request while the SSA team primarily processes for disability requests. What distinguishes this department from others, is the familiarity with the documents contained within an electronic/paper medical record and strong customer services skills with ability to speak with customers and resolve issues. Team has a total of 27 employees between two processing teams. One processes hospital requests and the other team processes SSA/disability requests. Hospital processers use hospital based EMRs (electronic medical records) vs SSA processers who access all EMRs, both hospital and clinic. Nov 2021 implemented new Release of Information platform (MRO). In May/June we will increase technology by using bots to prepopulate the request information in the platform rather than manually entering it. This team works extremely well together and there are many long term employees. Banner Health is a great employer and job is 100% remote.
As an Arizona-Remote Senior ROI Technician, you will be handling high volume Release of Information for AZ locations. You will be responsible for requests that will come in via rightfax into a network folder. PDFs would have to be renamed according to the standard renaming convention, requests would then be reviewed for HIPAA compliance. If valid, records are pulled from Cerner and sent to requester via fax.??RHIT credential preferred or some college. Previous experience with a minimum one year with processing release of information requests. All employees are trained on production standards by the CROI educator. Currently hospital requests are 2.25 per hour and SSA are 3 per hour. This is subject to change based on changes in workflow/technology. Requests for medical records varies across specific requesters, workflows evolve and use of critical thinking skills is a must.
This position is remote with a Monday- Friday schedule from 8:00 AM- 4:30 PM.

POSITION SUMMARY
This position coordinates and processes a high volume of requests for confidential patient information in accordance with HIPAA, Federal, state and regulatory guidelines for the Banner Health system (hospitals, clinics, urgent care facilities).. May act in a leadership role and as a liaison between management and the staff. Facilitates the delivery of high quality customer service to external customers. Responsibilities typically include the monitoring and direction of daily workflow and involvement in process improvement/quality monitoring functions.
CORE FUNCTIONS
1. Conducts routine, complex, high volume releases of health information in accordance with company policy and all state and federal laws. May act as a liaison to ROI techs and is knowledgeable with applicable federal and state regulations and Banner Health policies related to release of health information and HIPAA. Prepares certified copies of records for patient as requested for external reviewers and legal proceedings.
2. Monitor daily workflow processes, complete daily activities, and identify and communicate to leadership any opportunities for improvement as needed. Identify, address and communicate opportunities to improve work processes and practices good work group dynamics. May serve as a backup to other staff members to ensure the department operations are efficiently and effectively maintained.
3. Compiles department statistics, generates reports, and facilitates special projects as required including assisting in the development of targets and action plans to achieve department goals. All ROI staff must meet the minimum productivity standards.
4. Assist with the orientation, training, and re-education of ROI staff. Promotes communication, effective point of service decision making and problem solving while interacting with internal/external customers to ensure positive resolutions and customer satisfaction. Serves as a key liaison between staff, providers, and other internal customers.
5. Provide customer service and assistance related to ROI departmental functions to patients, vendors, physicians, ancillary staff, and other departments in person, over the telephone, through email, or by other means.
6. Works independently under limited supervision, provides leadership and expertise to a work team. Solves problems using defined procedures and a learned expertise in release of information processes in regards to HIPAA, regulatory, state and all Federal guidelines (i.e. OCR). Holds system wide scope of hospital, clinic and urgent care facility releases. Pays close attention to detail when processing requests. Must follow Banner Health policies, procedures and guidelines in releasing information according to federal, state, and regulatory guidelines across multiple states. Determines appropriate payment for each request and follows all Federal guidelines (i.e. OCR).Prepares certified copies of records for audits and legal proceedings. Internal customers are company leadership, ancillary departments, physicians, patient financial services, and nursing. External customers are attorneys, insurance payers, state regulatory board, medical examiner, and patient/patient representative.
MINIMUM QUALIFICATIONS
Requires the knowledge of health information practices and principles as normally demonstrated through completion of one or more years of post-high school education in medical records and in information systems and one year release of information experience.
Must demonstrate a thorough knowledge of health information management practices and principles and have a working knowledge of medical terminology as normally acquired over 3 or more years of related work experience in medical records with one year of release of information experience. Is experienced in coordinating work functions of groups of individuals is preferred. Ability to organize workload to meet deadlines, and maintain confidentiality of all work information. Must be able to exercise independent judgment, prioritize multiple tasks, and have excellent problem solving skills. Strong verbal, written communication, leadership and interpersonal skills are required.
Requires strong technical skills in the use of Windows software applications, specialized equipment and multiple databases. Must have strong organizational skills, good customer service and interpersonal skills. Is knowledgeable and proficient in accessing and utilizing all applicable EHR systems as well as multiple EHR applications utilized by the Release of Information department.
PREFERRED QUALIFICATIONS
Current enrollment in the Registered Health Information Technician (RHIT) or Registered Health Information Administrator (RHIA) Program. Experience coordinating work functions of groups of individuals is preferred. A background in the use of medical terminology for the assigned area is preferred. Additional related education and/or experience preferred.
